Creating a Transaction

A guide to all 4 transaction types, Deposit, mixed payments, settlement, and receipts.

From recording orders and managing package quota to financial reports โ€” Pulito is ready to make your laundry operations tidier and more precise.

1. Getting to Know the 4 Main Transaction Types

To keep your quota-stock records and cash book tidy, Pulito splits transactions into 4 categories. Here is what each does:

  • ๐Ÿงบ Regular Transaction: The most common type, used for kilo or per-item services. The system records it as outlet income (revenue).
  • ๐Ÿ’ณ Package Top-up: Use it when a customer wants to buy quota upfront (e.g. a 50kg package or 10 Bedcovers). This transaction adds to the "Active Package" balance in the customer's profile.
  • ๐Ÿ”ฅ Use Package: If the customer already has an "Active Package", they simply choose this transaction to deduct their quota balance. The amount due is automatically Rp 0 because it was paid upfront (at Top-up).
  • ๐Ÿ’ฐ Deposit: Use it if the customer wants to store a cash balance (not quota). This money is stored as a "Deposit" balance that can be used to pay for any transaction later.
Quick steps: Create a Regular Transaction
  1. Open the Transaksi (Transactions) tab in the bottom navigation โ€” the customer list appears.
  2. Pick a customer name, or register one first via Tambah Pelanggan (Add Customer).
  3. On the Pilih Jenis Pesanan (Choose Order Type) page, choose Reguler (Regular).
  4. The service list opens automatically โ€” tap the ordered service and set its weight/quantity.
  5. Tap Lanjut ke Pembayaran (Continue to Payment).
  6. Choose Bayar Sekarang (Pay Now, paid in full) or Bayar Nanti (Pay Later, recorded as a bill). Pay Later can still be chosen even if the customer has a deposit balance.
  7. If a promo bonus is triggered (automatic voucher / B1G1), its preview appears in the Bonus untuk pelanggan (Bonus for the customer) card before you confirm.
  8. Choose the payment method, then tap Konfirmasi & Bayar (Confirm & Pay) (for Pay Later the button reads Buat Transaksi (Bayar Nanti) / Create Transaction (Pay Later)) โ€” done, the receipt is ready to send/print.
Quick steps: Package Top-up
  1. Open the Transaksi (Transactions) tab โ†’ pick a customer.
  2. On the Pilih Jenis Pesanan (Choose Order Type) page, choose Top Up Paket (Top Up Package).
  3. From the package list, choose the package the customer buys (e.g. 10 Pcs Package) โ€” the package discount is applied automatically if any.
  4. Tap Lanjut ke Pembayaran (Continue to Payment), choose a payment method, then Konfirmasi & Bayar (Confirm & Pay) (for Pay Later: Buat Transaksi (Bayar Nanti) / Create Transaction (Pay Later)).
  5. The customer's Active Package balance increases immediately.
Quick steps: Use Package (Member Service)
  1. Open the Transaksi (Transactions) tab โ†’ pick a customer who has an active package.
  2. On the Pilih Jenis Pesanan (Choose Order Type) page, choose Gunakan Paket (Use Package).
  3. The active package list opens โ€” choose the package to use (e.g. "8 Pcs left").
  4. Set the amount of quota to use.
  5. Tap Buat Transaksi (Create Transaction) โ€” the amount due is automatically Rp 0 (no charge), and the quota decreases by itself.
Quick steps: Top Up a Deposit Balance
  1. Open the Transaksi (Transactions) tab โ†’ pick a customer.
  2. On the Pilih Jenis Pesanan (Choose Order Type) page, choose Deposit.
  3. Enter the Deposit Amount (following the outlet's increment, e.g. Rp500).
  4. Choose the real account that receives the money, such as Cash or Transfer / QRIS.
  5. Tap Buat Deposit (Create Deposit) โ€” that real account increases and the customer's Deposit balance increases by the same amount. Deposit is recorded as a customer liability, not as a separate cash account.

2. Choose How to Pay: Now or Later?

Decide the payment timing based on your customer's habits:

  • Pay Now (Paid Upfront): the customer pays in full via Cash, Transfer/QRIS, or by deducting their Deposit balance.
  • Pay with Deposit & Mix Payment: if the customer has a deposit balance, the system automatically offers it on the payment page. Enough balance โ†’ the bill is fully paid from the deposit. Not enough โ†’ the remaining bill is combined into Deposit + Cash or Deposit + Transfer/QRIS (mix payment) in one receipt โ€” both are recorded neatly in the reports.
  • Pay Later (Tab / Unpaid): Suitable for customers who want to pay when they pick up the laundry. The transaction is recorded as a bill. To settle it, open the Penjualan (Sales) menu, tap the transaction, press the Lunasi Sekarang (Pay Off Now) button, then confirm via Konfirmasi Pelunasan (Confirm Payment). Pay Later can still be chosen even if the customer has a deposit balance โ€” the deposit is not deducted until the transaction is settled.
  • Bonus for the customer: If the cart contents trigger a promo (automatic voucher or B1G1), the "Bonus untuk pelanggan" (Bonus for the customer) card appears in the payment form as a preview of the bonus the customer will receive before you confirm.
Quick steps: Pay with Deposit / Mix Payment
  1. Create the transaction under a registered customer โ€” the deposit balance is attached to the customer's profile.
  2. On the payment page, the Deposit Pelanggan (Customer Deposit) card and its balance appear automatically.
  3. Enough balance: choose to pay in full with the deposit โ€” the bill is settled instantly, Rp 0 in physical cash.
  4. Not enough balance: it automatically becomes a mix payment โ€” pay the rest with Cash or Transfer/QRIS.
  5. Tap Konfirmasi & Bayar (Confirm & Pay) โ€” the deposit deduction & remaining payment are recorded separately in the reports.

๐Ÿ’ณ If the customer pays via Transfer / QRIS

If the outlet requires payment proof, the owner or employee uploads it inside Pulito before confirming the payment. The public Digital Receipt sent via WhatsApp shows transaction status and payment instructions; it does not accept customer uploads.

3. Manage Order Status (Tracking)

Give customers certainty about their laundry progress with a transparent status feature. Note that this feature is only for operational transactions (Regular Wash & Package Quota Usage). Financial transactions like Top-up and Deposit have no processing status because they are instant.

โš™๏ธ How to Set Up the Workflow

When an outlet is first created, the system automatically prepares a standard workflow: Created โ†’ In Process โ†’ Done

However, as the Owner you can make it more detailed:

  • Go to the Profile > Layanan, Paket & Promo (Services, Packages & Promos) menu.
  • Choose the Status Pesanan (Order Status) menu.
  • You can add, delete, or rename statuses to match your operational needs.

โœ… How to Update Progress (Employees & Owner)

Both employees and owners can update the order status directly from the Transaction Detail page:

  • Open the customer's transaction detail.
  • Tap the "Update Status" button in the action row at the bottom of the transaction detail.
  • The status immediately advances to the next stage (e.g. from "In Process" to "Ready for Pickup") and a success notification appears.
  • The customer can see this status change in real time through the Digital Receipt sent via WhatsApp.

๐Ÿ“ฑ Customers can check status via the Digital Receipt

When the receipt is sent via WhatsApp, the customer gets a digital receipt link that opens in a browser. There the customer can see the current processing status, transaction details, and payment history โ€” without installing any app.

๐Ÿ“ค How to send the receipt to the customer:

After the transaction is created, you can send the receipt to the customer in 3 ways:

  • Send via WhatsApp (recommended): send the digital receipt link straight to the customer's WhatsApp, openable in a browser.
  • Print Receipt: print the receipt to a Bluetooth thermal printer (Android app only).
  • Check Receipt Online: open the digital receipt preview in a browser.

๐Ÿ’ก Option: QR Code on the Receipt

"QR di Nota" (QR on Receipt) prints the tracking/digital-receipt QR. "QR Pembayaran di Nota" is a separate toggle for the outlet's custom QRIS and only appears on unpaid receipts. Both are off by default to save paper, and the digital receipt link remains printed even when the tracking QR is off.

4. Important: If You Want to Cancel a Transaction

*The cancel-transaction feature can only be accessed by the Owner because the system automatically adjusts your financial reports.

Automatic Effects of Cancellation:

  • Money & Deposit: If already paid, the credited real account is reversed. Any Deposit used is restored to the customer. When cancelling a Deposit top-up, the Owner must choose the real account that funds the refund.
  • Quota Reversal: Package quota is returned if you cancel package usage; purchased and B1G1 bonus quota are pulled back for a cancelled top-up/promo.
  • Voucher Handling: A redeemed voucher is returned. Bonus vouchers are deleted when still available; a bonus already used by the customer cannot be pulled back and is logged for audit.
Quick steps: Cancel a Transaction (Owner only)
  1. Open the Penjualan (Sales) menu, tap the transaction you want to cancel.
  2. Scroll to the very bottom of the Transaction Detail page.
  3. Tap Batalkan Transaksi (Cancel Transaction).
  4. Read the effects summary (refund / quota return), then confirm.

  • Update Progress Status: Always keep the status updated so customers who check via Track Receipt feel at ease.
  • Monitor Accounting Logs: Use this menu as audit evidence if there is a cash discrepancy, since every money movement is recorded neatly.
  • Use Deposit as a Retention Tool: Customers with a deposit balance tend to be more loyal because they feel "subscribed".
