Managing Customer Data
A practical way to add, edit, and view the transaction history of your loyal customers.
Let's learn how to manage your customer database to build loyalty and grow your laundry revenue through Pulito's customer management features.
IMPORTANT: Customer Database Is Isolated
Important to know: the customer database in Pulito is Isolated per Outlet. This means customer data, deposit balances, and packages at one outlet are not automatically connected to your other outlets, to keep bookkeeping accurate at each branch.
๐๏ธ Part 1: Adding & Importing Customer Data
There are two practical ways to register customers into the system:
1. Manual Input
- Access: Transaksi (Transactions) menu > Pelanggan Baru (New Customer).
- Uniqueness Check: The system checks the Name and WhatsApp Number. If it is already registered at this outlet, the system automatically rejects it to avoid duplicate data. However, you may use the same name at your other branch outlets.
- Detail Values:
- - Name (Required): The customer's name.
- - WhatsApp Number: Highly recommended for sending digital receipts.
- - Additional Data: Email, Gender, Date of Birth, and Address (optional).
Quick steps: Add a Customer Manually
- Open the Transaksi (Transactions) menu.
- Tap + Pelanggan Baru (New Customer).
- Fill in the Name (required) and WhatsApp Number.
- Add an Address or other info if needed.
- Tap Simpan (Save).

2. Import from Phone Contacts
You can use the "Import Kontak" (Import Contacts) feature to go faster. Pulito automatically detects your contact's status:
- Not Registered: A "Daftarkan Pelanggan" (Register Customer) button appears.
- Registered: A "Terdaftar โ lanjut transaksi" (Registered โ continue transaction) button appears (Full Match).
- Partial: If the number matches but the name differs (or vice versa), the system offers the choice of creating a new record or using the existing one.
Quick steps: Import Customers from Phone Contacts
- Open the Transaksi (Transactions) menu.
- Tap the Import Kontak (Import Contacts) icon (top right).
- Allow access to your phone contacts if prompted.
- Select one or more contacts from the list.
- Tap Daftarkan Pelanggan (Register Customer).

๐งบ Part 2: Monitoring Customer Details
Tap a customer's name to open the Customer Analytics page. Here you have full control:
- Financial Summary: Track the Deposit balance, total Unpaid bills, number of transactions, and the date they joined.
- Package Management:
- See the list of packages owned vs. packages not yet owned.
- MANUAL PACKAGE EDIT: This button lets you add or reduce remaining quota manually โ very useful for giving bonus quota to loyal customers.
- Voucher Management:
- Remove Voucher: For Owner accounts only, you can revoke a voucher from a specific customer in case of a cancellation (this only removes the voucher for that customer, not the master voucher at the outlet).
- Edit & Delete Customer:
- Edit Data: Tap "Edit Data" to change the profile (phone number, address, etc.).
- โ ๏ธ Deleting a Customer: The delete button is in the "Edit Data" menu. Deleting a customer permanently removes their transaction history, package quota, and vouchers. If the customer has a deposit balance, the system automatically records a refund from the outlet cash.
Quick steps: Edit or Delete Customer Data
- Open the Transaksi (Transactions) menu.
- Tap the name of the customer you want to edit.
- Tap Edit Data.
- Change the profile information, then tap Simpan (Save).
- To delete: tap Hapus Pelanggan (Delete Customer) โ permanent. If Deposit remains, choose the real Cash/Transfer account used as the refund source first.

๐ Part 3: Analyzing the Customer Database
Open the Profile > Laporan & Analisa > Analisa Pelanggan (Reports & Analytics > Customer Analytics) menu to see the health of your database:
- Real-Time Statistics: See total customers, new-customer growth, how many people have an active package, and customers with a deposit balance.
- Growth Chart: A visualization of the new-customer trend (Today, This Month, or a Custom date range) to measure how effective your promotions are.
- Special Menu: Customer Deposit List: A list of customers with the largest deposit balances at your outlet.

Pulito is developing a Loyalty Program (Points) and Customer Feedback (Rating) to help your business grow even further.
๐ก Customer Management Tips
- Recorded Refund: If you delete a customer who still has Deposit, Pulito requires you to choose the real Cash/Transfer source account. The customer, Deposit liability, account deduction, and accounting log are then processed together.
- Branch Isolation: Remember, a customer at Outlet A is not automatically registered at Outlet B. If they switch branches, just register them again or use the import-contacts feature.
